Procedure for Appointment

1 Vacancies

All vacancies will be circulated by Human Resources via the Vacancy Bulletin.

2 Candidature

Candidates shall normally be graduate members of the University's Academic or Related Staff.

3 Selection and Appointment

(a) References will be taken up for every candidate interviewed, including a reference from the candidate's Head of Department or Section.

(b) Interviews will be conducted by a Selection Committee composed of the Chief Operating Officer, or his nominee: the Director of Student Guidance and Welfare: the Director of imago and a Warden.

(c) The Selection Committee's recommendation for an appointment will be sent to the Appointments Committee.

(d) All arrangements concerning applications for Wardenships and interviews of candidates will be made by Human Resources.

(e) Offers of appointment will be made by the Director of Human Resources.

4. Probation

 

All newly appointed staff, (including internal appointments and promotions, unless the appointment panel determines that it should be waived) will be required to undertake a probationary period before the appointment can be confirmed.  The procedures governing the process, including the duration of the probation, are outlined in the University’s Procedure for Probationary Appointments.

CONDITIONS OF SERVICE

1 (a) An appointment as Warden shall be for a period normally of five years, but of not less than two years in the first instance. It may be renewed for a further period or periods such that the total period of appointment shall normally not exceed in the aggregate ten years. No appointment or extension thereof shall be for a period exceeding the period of a Warden's substantive appointment in the University.

(b) Subject to (a) above, an appointment as Warden shall be made on the basis of a fixed-term contract for such period as may be recommended by a Selection Committee and approved by the Appointments Committee, and an offer of appointment shall be taken to include the following terms:

(i) The initial period of appointment shall normally include a probationary period of one year.   Unless, during the probationary period, the University gives at least one month's notice of termination of the appointment to expire on the last day of the probationary period, on the completion of the probationary period a Warden's appointment shall be deemed to be confirmed for the duration of its stated term;

(ii) Following the completion of the probationary period, a Warden's appointment may be terminated during its continuance by the giving of one term's notice by either side, such notice to be given before the first day of a term to expire on the last day of that term.

2 RESIDENCE

For the better performance of duties, the Warden must, unless excepted by the Chief Operating Officer, occupy accommodation provided by the University as a rent-free service occupant. A relocation allowance will be payable to a Warden, as a contribution towards the costs of taking up residence in University property. On the termination of the appointment for any reason, the Warden shall vacate and give up possession of the accommodation at the direction of the University.

3 DUTIES AND RESPONSIBILITIES

(a) Wardens shall be generally responsible to the Director of Student Guidance and Welfare in the discharge of their duties. The Warden shall have the overall responsibility for the welfare and discipline of the students in the allocated Hall, and shall undertake such administrative duties as may from time to time be assigned by the Director of Student Guidance and Welfare.

(b) Appointments as Wardens carry with them membership of the University Wardens Committee. (Ordinance XXII)

(c) Appointment to a Wardenship is additional to the appointee's substantive appointment in the University and no appointment as a Warden shall serve to vary or amend the terms, conditions or duties attaching to the appointee's substantive appointment. In any case where a Warden's duties or responsibilities are considered by the Head of Department to detract from the performance of his/her substantive appointment, the matter shall be referred to the Vice-Chancellor for resolution.

4 EMOLUMENTS

(a) The Warden's accommodation will be provided free of rent and utilities charges.  Carpets and curtains will be provided for the living rooms, hall, staircase and landing. Should the accommodation contain an upstairs study, that room will be similarly part-furnished.

(b) The University will be responsible for the external maintenance of the accommodation and for the maintenance and repair of services within the accommodation, but the Warden  will be personally responsible for its internal decoration and other maintenance, and for the remainder of its internal furnishings.

(c) Charges for telephone rental and business calls will be paid by the University, but the Warden will be responsible for paying for all personal calls.

(d) The Warden of a full-catering Hall will be provided during term time with daily meals in the Hall and will during term time be expected to take meals with the students in Hall. The Warden may be accompanied by spouse when dining in Hall.

(e) The Warden will be entitled to an annual allowance which will be reviewed periodically, plus an additional allowance per student in Hall.

N.B. Some associated benefits eg heating, lighting, free meals, telephone etc may be liable to taxation. Wardens are responsible for their personal tax affairs.

5  PROBATION
